Australian swimming clubs live by the summer. Club nights run weekly at outdoor pools from October to March, with points, handicaps and the youngest swimmers doing their first 25 metres to roaring parents. Carnivals bring the whole club together, and the season wraps up with the club championships and a presentation night where every swimmer gets a ribbon or a trophy, from the junior aggregate to the most improved.
With dozens of swimmers aged five to eighteen and photos taken by parents on crowded pool concourses, the club slideshow can easily turn into a highlight reel of the fastest few. Here is how to keep it fair and make it fun.
A summer club season
First club night in October
Create the season and share the link with the club's families. A group photo in club caps on the first night opens the slideshow beautifully.
Before the Christmas break
Ask families to add their photos before school holidays and Christmas trips scatter everyone.
Late January
Check coverage age group by age group. Younger swimmers are photographed by proud parents every week; teenagers, who drive themselves or swim at training squads, often are not.
Club championships
The club championships involve every swimmer, which makes them the best single chance to fill gaps. Ask families to take photos of every heat, not only their own child's.
Ten days before presentation night
Close uploads and review the slideshow.
Making the slideshow
Split by age group if the club is big
Clubs with more than 40 swimmers usually make one season per age group or squad. Each gets a short slideshow, shown before that group's awards.
Paste first names only
Swimmers do not wear numbers, so tags from families match photos to swimmers. Duplicate names get an initial automatically.
Mark consent before sharing
Clubs collect consent at registration. Flag any swimmer without it; their photos stay hidden and never appear.
Encourage concourse and team photos
The best club night photos are not mid-race: they are relay teams waiting behind the blocks, the marshalling area, kids wrapped in towels and the points board.
Review and export
Club nights and carnivals become chapters, near-duplicates are grouped, and every swimmer reaches the same minimum. Rename chapters and export.
Photo tips at an outdoor pool
Glare off the water is the enemy. Shoot from the shaded side of the pool where you can, and tap the swimmer on screen to set exposure before you take the photo. For race shots, the finish is easier than the start: swimmers lift their heads at the wall and you get faces instead of splash. Backstroke starts and finishes are the best of all for faces. Keep photos to the pool deck and concourse, and never in or near the change rooms; the club's photography rules apply to everyone.
Chapters for an Australian club summer
An Australian club season has a shape that makes for natural chapters. The first club nights in October, still cool enough for hoodies on the concourse, are the opening. The Christmas break-up night, often a fun night with novelty events and a barbecue, deserves a chapter of its own. Late-summer carnivals and the inter-club meet bring the club together in matching shirts and caps, and the club championships in March close the story. Captions can be simple and specific, such as "Novelty night", "Inter-club meet: second place" or "Club champs: 28 swimmers, 31 PBs". Parents love seeing the youngest swimmers' first 25-metre swims celebrated alongside the senior swimmers' wins.
How long should a club slideshow be?
An age group of 15 to 20 swimmers fits in three to four minutes with every swimmer appearing three times. A whole club of 60 in one slideshow would run seven minutes or more, which is a long time on a summer evening, so most clubs split it.
How many photos do I need?Photos to collect for your team size and video length. The Splash style was made for swimming, with airy colours and wave transitions. Choose a bright, summery instrumental. Swimmers finishing school can be marked as leavers for a tribute at the end.
Presentation night checklist
Before the night
- Load each age group's slideshow onto one laptop in running order.
- Test the screen and sound at the venue.
- Agree the order with the club president: slideshow, then that group's ribbons and trophies.
- Bring a USB copy.
- Share the private links with families afterwards.
Privacy and safeguarding
Faces are never scanned or recognised. Children are matched to photos by the tags their families add and the numbers on their jumper. Only first names are stored, location data is removed on the phone before upload, the season’s link is private and never appears in search engines, and anything inappropriate for a youth sports setting is hidden automatically. Any parent can report a photo, and the organiser has the final say on every photo in the video.
Swimming club questions
Our club has learn-to-swim kids too. Should they be included?
If they are club members celebrated at presentation night, give them their own season and a short slideshow of their own.
Can we show handicap points or times?
The slideshow is about the swimmers. Use chapter titles or a caption line for results, such as "Club championships, 31 PBs".
Is there a price for clubs with many age groups?
Yes, the Club Pass covers up to 10 seasons with everything in Team Plus. Prices include GST.
How do parents find the link mid-season?
Pin the message in the club's group chat or print the QR code from the share screen and stick it on the canteen window.
