Swim club banquet slideshow for a Canadian age-group club

A guide for Canadian swim clubs to collect photos from September to provincials and build a year-end banquet slideshow that features every swimmer fairly.

Canadian age-group swim clubs train almost year-round. The short-course season starts in September, invitationals fill the winter weekends, and the club year builds toward championship meets and provincials in the spring, with long-course swimming in the summer. The club banquet, often held in late spring, celebrates swimmers from the youngest learn-to-compete group to senior swimmers aiming for national standards.

With dozens of swimmers across several training groups and meets in pools from one end of the province to the other, a fair slideshow needs a plan. Here is one.

Club year timeline

  1. First week of September practice

Create the season and share the link with every group's parents. Group photos on the pool deck at the start of the year are a lovely opening.

  2. First invitational

Parents in the stands photograph races, but the best moments are on deck: team cheers before relays, coaches talking to swimmers, ribbons. Ask for those too.

  3. After the winter break

Check the coverage list group by group. Younger groups tend to be well covered; older swimmers, whose parents no longer travel to every meet, often are not.

  4. After the championship meet

Set the photo deadline a week or so before the banquet.

Making the slideshow

  1. Decide: one club video or one per group

For a club with more than 50 swimmers, consider one season per training group. Each group gets its own link, roster and three- to four-minute video, which keeps the banquet moving.

  2. Paste the roster

Add first names only; swimmers do not wear numbers. If two swimmers share a name, initials are added automatically.

  3. Check consent

Clubs usually collect photo consent at registration. Mark anyone who has opted out before uploads begin; their photos stay out of every video.

  4. Chase the quiet swimmers

Use the coverage list after each meet and copy the friendly reminder for swimmers who are short. Ask parents in the stands to photograph a teammate in the next lane.

  5. Review and export

Meets become chapters automatically. The sharpest photo from each burst is kept and everyone gets the same minimum appearances. Rename chapters with meet names and export.

Moments that belong in a Canadian club slideshow

Canadian clubs often travel for meets, which means early-morning drives, hotel breakfasts and team cheers in pool lobbies. Those off-deck moments give the slideshow warmth. Ask families to capture the team banner hung on the bleachers, the age-group relays waiting behind the blocks, and the medal ceremonies at provincials. If your club runs a holiday training camp or a fun meet at the end of the short-course season, they make great light-hearted chapters. For older swimmers, a photo with their coach after achieving a provincial or national qualifying time is a milestone worth its own caption, such as "Provincial standards: 12 new qualifiers".

How long should a swim club banquet slideshow be?

At three and a half seconds per photo and two appearances per swimmer, 25 swimmers fits in about three and a half minutes, 50 swimmers in about six. Splitting by training group keeps each video to three or four minutes and lets each coach introduce their group.

The Splash style was made for the pool: airy colours and wave transitions. Choose a bright track, and mark graduating swimmers so their tribute closes the video.

Banquet checklist

Before the banquet

  • Download each group's video and put them in a playlist in the right order.
  • Test the projector and sound in the banquet room.
  • Give each coach a moment to introduce their group's video.
  • Plan the graduating swimmers' recognition right after the last video.
  • Share the private links with each group's families.

Privacy and safeguarding

Faces are never scanned or recognised. Children are matched to photos by the tags their families add and the numbers on their jersey. Only first names are stored, location data is removed on the phone before upload, the season’s link is private and never appears in search engines, and anything inappropriate for a youth sports setting is hidden automatically. Any parent can report a photo, and the organizer has the final say on every photo in the video.

Questions from swim families

Can we include summer long-course meets?

If the banquet celebrates the whole club year, yes. Keep the link open until the deadline and the summer meets become chapters.

Our club has swimmers who also train with another club. Is that a problem?

No. Each season is separate. A swimmer can be on more than one roster if both clubs include them.

Which plan suits a club?

A single group fits on Team. A club making several group videos may prefer the Club Pass, which covers up to 10 seasons with everything in Team Plus.

Can coaches upload their own photos?

Yes. Coaches can upload as supporters and tag swimmers in each photo or batch.
