Baseball gives parents a lot of time to take pictures. There are innings of waiting between plays, dugout moments, the walk-up to the plate, and the pile-on after a walk-off hit. By the end of a spring season most families have hundreds of photos, nearly all of them of their own kid batting. The banquet slideshow job is to turn that pile into something fair and fun to watch, where every player on the roster shows up, including the right fielder who caught one fly ball all year.
Whether your league holds a closing ceremony at the field or the travel team books a restaurant room in June, this is how to get there calmly.
When to collect
Opening day
Share the season link with the opening day schedule. Opening day photos, with new uniforms and the team line-up along the baseline, make a perfect first chapter.
After a few weeks of games
Check coverage. Batting photos come in for every player, but fielding shots cluster around the pitcher and catcher. Ask parents to photograph a different position each game.
All-star games and the tournament run
If part of the team goes on to all-stars or a summer tournament, decide whether those games belong in this video or the next one, and tell parents.
Ten days before the banquet
Set the deadline. Late uploads after the last game are common, so leave a few days between the final game and the deadline.
Building the slideshow
Start the season with the roster and numbers
Paste first names and jersey numbers. Baseball photos often show a player from behind at the plate, and the number on the back is the clearest way to match the photo to the player.
Mark any player without photo consent
Most leagues collect photo permission on the registration form. Flag any player whose family said no, before parents start uploading.
Ask for variety, not volume
When you share the link, ask families for their best ten or twenty photos rather than everything. Fielding, dugout, team cheers and celebrations make a better slideshow than forty identical swings.
Use the needs-photos list after every few games
The list shows who is under the target. Copy the reminder and post it in the team chat. It names the players generically, so nobody feels singled out.
Review the first cut
After the deadline, the slideshow is built for you: burst shots of the same swing are grouped and the sharpest kept, games become chapters, and every player gets the same minimum appearances. Swap photos where you want a different moment, then export.
How long should a baseball banquet slideshow be?
A Little League roster of 11 to 13 players fits nicely in three and a half to four minutes, with each player appearing three or four times plus team shots. A travel team with a longer season can stretch to five minutes.
If the league plays every team's slideshow at one closing ceremony, three minutes per team keeps the evening moving. Use the planner to check how many photos fit your track.
Song length plannerFit your photos to the music, song by song. The Classic style suits baseball: warm colors, gentle movement across each photo, and a roll call that lists every name like a line-up card.
Banquet checklist
On the day
- Have the MP4 downloaded on the laptop, plus a copy on a USB stick.
- Check whether the venue's screen is 16:9; the video is made for widescreen.
- Run the sound once; outdoor ceremonies need a speaker that carries.
- Play the slideshow before the trophies so kids walk up to collect them grinning.
- Send families the private link afterwards.
Privacy and safeguarding
Faces are never scanned or recognized. Children are matched to photos by the tags their families add and the numbers on their jersey. Only first names are stored, location data is removed on the phone before upload, the season’s link is private and never appears in search engines, and anything inappropriate for a youth sports setting is hidden automatically. Any parent can report a photo, and the organizer has the final say on every photo in the video.
Baseball parent questions
Can the coach's scorebook photos or the team photo be added?
Yes. Anyone with the link can upload. Tag the team photo with every player and it counts toward each child's appearances.
We had a rainout-heavy season with few games. Is that a problem?
No. Fewer game days just means fewer chapters. Practice photos, the team dinner and the dugout all count; the selection balances whatever there is.
Do the players see the photos before the banquet?
Only people with the link can see the team's photos. Many parents keep the link from the kids so the slideshow is a surprise.
Can we add a message from the coach?
You can edit the title, subtitle and chapter titles, and add a short caption line to each chapter, which is a nice place for a thank-you.
