Cross country is the sport where the slowest runner gets the loudest cheer. Teams are large and inclusive, meets are spread across golf courses and parks, and parents spend most of each race jogging between the one-mile mark and the finish to catch a glimpse of their runner. The photos that come back are wonderful and chaotic: blurry packs, mud on shins, and a finish chute where everyone looks exhausted.
The fall banquet is where that whole squad is celebrated. A good slideshow shows the varsity seven and the twenty-minute finishers alike. Here is how to plan it.
A fall running season
Summer running and the time trial
Share the season link when practices start. Summer group runs, team pasta dinners and the first time trial are full of relaxed, unhelmeted, unnumbered team moments.
The first invitational
Big invitationals produce big crowds. Ask parents to photograph the team tent and the warm-up jog as well as the race.
Mid-season
Check the coverage list. Runners in the JV and open races are often missing because parents are watching varsity. Assign one parent per race to take photos of every runner who passes.
After conference or regionals
Set the photo deadline a week before the banquet. Late-season races in cold weather make an emotional final chapter.
Steps to the slideshow
Set up the roster
Paste all runners' first names, boys and girls together if you hold one banquet. Bib numbers change every meet, so leave numbers empty and rely on families' tags.
Share the link with a simple ask
Ask each family for photos of their runner and any teammates near them in the pack. Pack running photos naturally include several runners, which is perfect for fair coverage.
Mark consent where needed
Flag any runner whose family has opted out of photos so they never appear in the video.
Fill the gaps from the coverage list
After each meet, copy the reminder naming runners still under the target. Parents of fast runners often have photos of slower teammates at the same mile marker.
Review the meet chapters
After the deadline, each meet becomes a chapter. Rename them with course names, check the roll call has everyone, and export.
How long should a cross country slideshow be?
Running teams can be 40 to 80 runners, so length matters. At two appearances each, 40 runners needs about five and a half minutes; 70 runners needs closer to eight. For bigger teams, consider one video for the boys' team and one for the girls', or a video per grade, each about four minutes.

Banquet checklist
Before the banquet
- Download the MP4 and test it on the screen and speakers you will use.
- Put the slideshow before the varsity letters and awards.
- Have the captains introduce the video.
- Keep a printed list of every runner's name for the coach, matching the roll call.
- Share the private link with families after the banquet.
Keeping runners' photos private
Course photos are taken in public parks, but the team's collection stays private to families with the link. Faces are never analyzed or recognized; runners are matched through their families' tags. Location metadata, which would otherwise reveal home addresses for photos taken at home, is stripped before upload.
Questions from running families
Most of our photos are blurry because runners are moving fast. Is that a problem?
Blurry photos are scored lower and the sharpest version of each moment is chosen. Ask parents to take photos as runners come toward them rather than across, which keeps them sharper.
Can we include track season too?
If track season is part of the same team's year, yes; chapters come from dates. Many programs make a separate video for track.
Our team uses one shared photo album already. Can we import it?
Ask whoever owns the album to download their photos and upload them through the link, tagging the runners in each.
How do we honor graduating seniors?
Mark them as seniors on the roster. On paid plans they get a tribute section with a title card each at the end of the video.
